About our unique Form I-9 solution
When you request service, we immediately send an email to your new hire to introduce us and explain how the process will move forward. (You should first give the new hire a “heads up” that we will be contacting them.)
The email includes a link to our secure platform that the employee can access on a smartphone, tablet, laptop or desktop. The new hire will submit the info required for Section 1 (takes about a minute!).
Section 1 is reviewed by the Verifyi9 I-9 team immediately. We will contact the employee to correct any issues.
(Use an HRIS like Workday, ADP, or Tri-Net? The new hire completes Section 1 there.)
After Section 1 is completed, your employee receives a second email with instructions to:
- select the identification documents that she will present (we provide the “Lists of Acceptable Documents);
- identify the person from her circle of friends, family, and acquaintances who will act as your “Authorized Representative.” We require the individual to be an adult and, obviously, not the employee herself;
- with the authorized representative physically present and her actual identification documents in hand, the new hire will call to speak with a Verifyi9 I-9 Specialist.
The phone call
The employee can call us at her convenience, within our call center hours. Our I-9 expert will:
- confirm that the new hire and the authorized representative are together, face to face;
- confirm with the representative that the identification documents are original, unexpired, from the Lists of Acceptable Documents, and appropriate for the employee’s citizenship status and any special employment status;
- guide the representative to complete Section 2 and the Certification section on our I-9 platform or yours. The representative will take pictures of the ID described on the form.
(The average “time to answer” is 13 seconds; the average length of the call seven-and-a-half minutes.)
Form and document return
After review and approval, you will receive an email with specially-coded URLs to download the completed form and identification documents from our secure server. If we complete the process directly on your onboarding portal, we will notify you when it has been completed.
(If we use this process to correct serious errors discovered during an internal audit, you may receive corrected forms via another method.)
Form I-9 on your platform
You can still leverage our knowledge and expertise even if I-9s are completed on your platform! Our I-9 specialists can guide your new hire through the process on Workday, ADP Workforce Now, Tri-Net, and others. Our service also integrates well with Rippling, BambooHR, and many other HRIS.
Reminders and notifications
We send reminders when the employee doesn’t respond. On the third reminder, we will ask you for your assistance. On the fifth reminder, we will notify you that the process has stalled and cannot be completed unless the employee will communicate with us.
Higher volume employers will have a dashboard by which they can monitor our progress on each service request.
